The Scholastic Book Fair Team based in Coventry know all about how to create the perfect Book Fair! The staff spend every day helping organisers like you, so they're just the people to advise on common questions and problems. We asked six members of the team to answer some of the most frequently-asked questions.

Q How often does the book range change?

A The entire range changes twice a year, once in September and once in January. In addition, we have seasonal changes and we'll slot in key new releases throughout the year. An example is Jacky Daydream by Jacqueline Wilson, which was published in February and placed onto the spring cases once stock was available.

Q What happens if the Book Fair runs out of a popular book?

A You can call our free phone number 0800 212 281 any time until 4pm on the day before your Book Fair is due for collection, and place an order for the books you require. As long as we have stock in our local branch warehouse, the books will be taken to you by our driver when he collects the Book Fair from your school. If the books aren't available at your local Branch, they will be sent from our Central office and you'll receive them within 3-5 days.

Money matters

Taking payments

It is best to run through with volunteers how payment can be accepted before the Book Fair. That way there is no confusion and customers can be dealt with quickly and efficiently. There are three ways to take payment:

Cash

  • You'll need to start off with a float and it's best to have both small change and notes in your cashier tin.
  • The takings for each day need to be recorded.
  • All takings should be kept in the school safe (or other secure place).

Cheques

  • Cheques can be made payable to your school. You may want to have a few signs on the payment table saying: 'Please make cheques payable to...'.
  • If you've got a school stamp this will speed up the process and make queues shorter.
